The position.

We’re seeking a proactive, highly organised Business Support Executive to ensure the seamless day-to-day administration support of our London HQ. This role calls for someone with a sharp eye for detail, a can-do attitude, and the ability to manage multiple priorities with confidence and composure.

The Business Support Executive will work closely with the Studio Director, project teams, and the Business Support Manager to provide seamless administration, document control, and project-related coordination. You will be a key point of contact for project support and will help maintain the quality and efficiency of our Business Management Procedures

The Business Support Executive is a wide-reaching generalist role, working closely with the Business Support Manager, at all levels across all offices, assisting staff and supporting with our Business Management Procedures and quality standards.

This is a full-time, on-site position, though occasional remote working may be possible when adequate on-site support is in place.

The role and responsibilities.

Your responsibilities will include, but are not limited to, the following:

Project & Studio Support

  • Provide day-to-day administration support to the Studio Director and project teams.
  • Manage and update project documentation, ensuring version control and accuracy.
  • Assist in producing project reports, presentations, and other project-related materials.
  • Support with document control processes and act as an interface with online EPMS (Electronic Project Management Systems).
  • Minuting internal project meetings and following up on agreed actions.

Coordination & Communication

  • Diary management and scheduling meetings (internal and external) for the Studio Director and project teams.
  • Assist with organising project-related events and workshops.
  • Act as a first point of contact for internal enquiries relating to project administration.

General Office & Business Support

  • Support the Business Support Manager in maintaining office operations and quality standards.
  • Carry out general administration tasks as required, including reception cover, filing, correspondence, and ad hoc requests.
  • Contribute to a positive, collaborative working environment by providing flexible support across the studio.

  • Willing to help others, take on ad hoc tasks within the office.
Qualifications and experience.
  • Proven experience in administration, ideally within a project or studio environment.
  • Proficiency with Microsoft Office Suite and familiarity with project management platforms or EPMS systems.
